UK/Alpine Weeks
A deposit of 25% is payable at the time of booking with the balance being due no later than 6-weeks (42 days) before commencement of the activity. If fees are not received by then, Hillways is under no obligation to hold your reservation.
In the event of cancellation by the client, for whatever reason, all monies paid will be returned less the following cancellation charges:
- Cancellation 6-weeks (42 days) or more before departure date: £25
- Cancellation less than 42 days before departure date: 60% of total cost
- Cancellation less than 21 days before departure date: no refund
All prospective clients are strongly recommended to secure cancellation protection as part of their insurance cover.
A minimum of 2 bookings is required for any advertised activity to go ahead. Clients will be informed no later than 4 weeks before their start date if any activity is likely to be cancelled due to lack of bookings.
Himalayan Expeditions
A deposit of £250 is payable at the time of booking. The full balance of the expedition cost is payable no later than 3 months (90 days) before departure. If fees are not received by then, Hillways is under no obligation to hold your reservation. In the event of cancellation by the client, for whatever reason, all monies paid will be returned less the following cancellation charges:
- Cancellation 90 days or more before departure date: deposit.
- Cancellation less than 90 days before departure date: 40% of total cost
- Cancellation less than 60 days before departure date: 60% of total cost
- Cancellation less than 30 days before departure date: no refund
A minimum of 4 bookings is required for the trek to go ahead. Clients will be informed no later than 2 months (60 days) before their start date if any activity is likely to be cancelled due to lack of bookings. All monies paid to that date will be refunded.
Whilst Hillways undertakes to provide the best possible standards of care and safety during the trek, all clients must accept that Himalayan trekking carries with it a degree of objective risk and isolation from medical facilities.
Hillways accepts no responsibility for any additional costs incurred by clients who miss outward flights or if return flights are missed due to problems or delays during the trek.
By necessity, prices are based on entrance fees, exchange rates and local taxes as they stand several months before the planned activity. In the event of these rates increasing by more than 15% prior to departure, Hillways reserve the right to levy a surcharge to cover costs. Should any surcharge exceed 10% of holiday cost, clients may cancel their booking with a full refund.
General Terms and Conditions Applicable to all Activities
Bookings will be confirmed on receipt of the required deposit. Hillways will provide a full expedition brief including recommended equipment list and food/accommodation options (where applicable) for each booking. Further advice is available at any time from ourselves.
All monies paid by clients in advance of courses will be insured against the financial failure of Hillways as required by the Package Travel, Package Holidays and Package Tours Regulations 1992.
Whilst we ensure a high professional standard of instruction, care and safety, visitors to this site are reminded that mountain walking and international trekking activities carry with them a danger of personal injury or death. Participants in these activities should be aware of, and accept, these risks and be responsible for their own actions and involvement. Hillways accepts no liability for loss, personal injury, or accident caused by any person (or personal equipment) during our activities or resultant of them.
You must ensure you are fully insured for your planned activity to cover cancellation, medical emergencies and loss of equipment and theft. We recommend taking out a British Mountaineering Council (BMC) insurance policy in order to cover you for your intended activity. The BMC offers a range of activity-based policies and all profits go straight back into work in support of mountaineering interests.
In the event of cancellation of any advertised activity by Hillways, for whatever reason, clients will be offered alternative dates/activities up to the value of the original booking. If no suitable alternative can be agreed with clients, all deposits/balances will be returned.
In the event of curtailment or cancellation of any advertised activity due to force majeure i.e. strikes, riots, acts of war or terrorism, natural disaster, disease epidemic, or any other circumstances beyond our control, Hillways will endeavour to provide an alternative activity package, but accepts no liability for the return of fees paid prior to cancellation or curtailment
Your Hillways Leader is a trained, qualified and experienced professional who reserves the right to exclude any client from any planned mountain activity if he or she might endanger the success or safety of the rest of the party through lack of fitness, ill-health, poor acclimatisation or dangerous technique.
Clients will be expected to refrain from any conduct which may give offence or cause danger or damage to any person or property. Clients acting in such a manner may be invited to leave. In such circumstances no refund will be paid.
Any client who acts in contravention of the decisions taken by their Hillways Leader, or undertakes independent mountaineering activities during the advertised activity will forfeit all professional protection and duty of care from the Leader.
In the absence of any written confirmation to Hillways to the contrary, clients will be assumed to be in good mental and physical health and to be unaware of any reason why they might be unsuited to participating in the advertised activity. Failure to disclose any information to the contrary may result in Hillways terminating the contract and withdrawing the Client from the activity on the grounds of incorrect information. The Client will not be entitled to any refund of payments made under this termination of contract.
